Refund Policy

1. Free Trial

All new organisations receive a 14-day free trial with 5 seats. No payment is taken during the trial. You can cancel at any time during the trial with no charge.

2. Monthly Subscriptions

Monthly subscriptions are billed at the start of each billing period. If you cancel mid-month, you will retain access until the end of the current billing period. We do not provide pro-rata refunds for partial months.

3. Annual Subscriptions

Annual subscriptions are billed upfront for the full year. If you cancel within 30 days of the annual payment and have not used the Service extensively (fewer than 5 module completions across your organisation), you may request a full refund.

6. How to Request a Refund

Email billing@passcare.co.uk with your organisation name, billing email, and reason for the refund request. We aim to respond within 3 business days. Approved refunds are processed to the original payment method within 5-10 business days.

7. Cancellation

You can cancel your subscription at any time from the Billing page in your manager dashboard, or by contacting billing@passcare.co.uk. After cancellation, your organisation retains read-only access to training records and certificates for 30 days, after which data is deleted (unless retention is required by law).
